Guidelines for Olinda Probus Club Members
No Financial Penalty
Refunds are normally granted if you cancel before the club commits funds or if the club does not lose money from your cancellation.
EXAMPLE 1: If a member has paid for some event such as a tour or a theatre and then cannot come, as long as the event has not yet been paid for by the club, yes, we do refund the money to the member.
EXAMPLE 2: On rare occasions, where a scheduled event has been cancelled, all of the members who had paid are refunded, less pro-rata percentage if the vendor charged the club a non-refundable deposit.
Minimum Numbers
No refund is given if your cancellation forces the entire event to drop below a required minimum number of participants.
Membership Registration Fee Refunds
Members ceasing membership during the year after paying their registration fees are not normally refunded on any basis.
Third-Party Costs
Money paid out to external groups—like coach companies, motels, or tour operators—is only refunded if the provider returns the money to the club.
Notice Periods
Many local clubs require set notice times, such as 7 days for day trips or 28 days for extended tours, to process refund requests.
EXAMPLE 1: The club will notify members of any booking cutoff date for payment. Once the club has pre-paid for an event, which sometimes happens when some event has to be paid for several days prior to the event to secure a booking, and then a member can't come, or changes their mind, then a refund is not given.
Insurance Exclusion
The official Probus National Insurance Program does not cover member cancellations, refunds, or personal illness.
